VRS Profiles

Pre-Sales Engineer, Matt Finch, recommends the use of Virtual ReScan (VRS), a piece of software that can greatly improve the look, quality and usability of scanned documents. In particular, he urges users to set up VRS Profiles.

Whilst some of our earliest clients may not have VRS (in which case, please talk to us as you will find it extremely useful), all our invoice processing clients have it as part of their solution. Nevertheless, as this technology runs in background, all its functions are sometimes not used to the full. One such function is VRS Profiles.

The purpose of VRS is to clean up images - getting rid of folded corners or coffee rings for example - then to improve image clarity through digital enhancement. This can be taken a step further by setting up VRS Profiles.

In a nutshell, these Profiles enable you to define clean-up settings based on document characteristics. Using the example of invoices, a particular supplier or group of suppliers may present invoices on yellow carbon paper, with faint print or on a dark background.

By setting up VRS Profiles, you can normalise these characteristics and end up with crystal-clear images to scan in to your system. We recommend that you set up a handful of Profiles according to the different types of print issues and paper colours that you encounter.

Then, as a part of your manual pre-scan process, you simply sort documents into batches and scan them in, applying the relevant Profile. Having dealt with these anomalous documents, you return to your standard settings for the bulk of the scan process.
